site problem

Hello all , last year was terrible on the site for rats , but we have them nearly under control except one plot ,

I have now joined the commitee as secatery ( talk about jumping in blind )

And now i find it my job to write to this plot holder and try and make him see sense ...

English was never my strong point this is what i have drafted so far please could you help me tidy it up a little

Over the Last Couple of months we have been getting a regular visit from XXXXXXX bouorough Council Pest control department To help control the rat problem that we have been encountering over the site. On these visits he has paid particular attention to the areas that contain live stock and has been baiting them with rat poisen
However it has been bought to the committees attention that he cannot enter your plots as they are locked , being that you own live stock your plots could well be a hot spot for rats as there is always a constant food supply , Please could you contact me on 07xxxxxxxxx and arrange for the committee to have a spare key so that we can obtain access to your plot for the next time the council come down to re bait the site . Once the rat problem is under control the committee will return the spare key . Failiure to allow access to your plots could result in further action being taken and end in the banning of live stock .

I may be wrong but isn't your plot supposed to be accessible to site secretary/council anyway?I can't remember all the ins & outs of our tenancy agreement,but I'm sure it stipulates that your plot should always be accessible to them in your absence???

This is the first year that the site has had a council so it has ran itself for the last 40 years .

Do you need to threaten with the last sentence at this stage? I'd keep it polite for now, if he fails to comply then you can threaten with the livestock ban and qualify that with the allotment and/or council rules on pest control.

Would just like the rats to be kept under control
